RENTAL LICENSED USE INCLUDES:
 

1. Full-day access to licensed space for exclusive use by licensed user.  Normal hours of access are 9:00 a.m. to 11:00 p.m.  This is to ensure that each rental day schedule has a ten (10) hour break between the departure on one day and the arrival on the following day.  Sunday access is 1:00 to 5:00 p.m., with extended access until 11:00 p.m.  Extended hours may be arranged prior to signing building use agreement.  Additional technical fees will be charged for extended hours.

2. Services of Belcher Center Management Office to assist in scheduling the event and to act as liaison between University and licensed user during regular business hours.

3. Training and review of Usher Manual for licensed user’s ushers.  Training to be scheduled at a mutually convenient time between licensed user and Belcher Center Management Office personnel.

4. Stage, auditorium and lobbies cleaned and in good order prior to occupancy.

5. Permanent fixtures, utilities, and heat or air conditioning.

6. All stage curtains in the Belcher Center’s standard inventory as outlined on our website, http://www.BelcherCenter.com under Technical Information.

7. The Belcher Center Technical Director as technical advisor ONLY.  Per-hour fees go into effect after 5:00 p.m.
 

RENTAL FEE DOES NOT INCLUDE:

1. Stage personnel of any type including set up, tear down, show call or operators of any equipment. 

2. Piano tuners.

3. Auxiliary theatrical sound and light equipment in the Belcher Center inventory.

4. After-hours Box Office, House Manager or Usher services.

5. Any and all police and security.

6. Promotion, advertising or public relations services of any kind.  However,  the Belcher Center uses Constant Comment e-mail service, and will work with you to send out an e-mail blast about your events – one blast per event for $50, or 2 for $75.

7. Insurance.  All non-university users must obtain and present a certificate of insurance covering the user’s public liability, personal injury and property damage.  Required minimum coverage is $1 million.  The certificate must name LeTourneau University and the Belcher Center as an additional insured.

8. Cleaning fees for special use of lobbies or excessive use of any backstage area or dressing rooms.   Also, the use of glitter in decorations or stage sets is prohibited in the Belcher Center.  A cleaning fee of $250 will be assessed if glitter removal is required as a result of your event.

9.  Catering services, ice and/or crew refreshments.

10.  Valet parking services.

11.   Towel service and access to washer and dryer. (Charges will be assessed for lost Belcher Center towels.)

12.   Permission to promote, sell or distribute concessions, novelties, souvenirs, etc.  The Belcher Center retains 25% of all gross merchandise sales.

13. Orchestra shell or its set up ($250 per use).

14. Marley floor or its set up ($300 per use + cost of tape).
 
MISCELLANEOUS INFORMATION

Ticketing: All tickets for reserved-seat performances in the Belcher Center must be sold through the Belcher Center box office by Belcher Center personnel.  No reservations through the Licensee will be honored, and no ticket will be processed until payment for that ticket has been received by the Belcher Center box office.  Tickets will be distributed through the Belcher Center box office on behalf of Licensee for a fee of $0.25 per ticket distributed, whether sold or complimentary.  In the event of an event cancellation by the Licensee, any ticket service fees will not be reimbursed.

Security:
All events must utilize LeTourneau University security services and personnel.  Each officer is up to $25 per hour and LeTourneau University security determines the required number and hours for each show based on estimated attendance and number of tickets sold.  Each officer must be on duty one and one half-hours prior to scheduled curtain time and will remain until the audience has left the parking lots on campus.  For full capacity in the Belcher Auditorium and a five-hour call, the estimated security costs would be approximately $1,000.00.
 
Chapel Schedule: The University’s Chapel services take place on the stage every Monday, Wednesday and Friday morning during the academic year.  Any activity scheduled during those times (stage set-up, etc.) must accommodate Chapel.
 
Parking: Designated campus lots are provided for patron parking and security personnel are assigned to direct traffic to each lot being utilized.
 
Valet Parking: Valet parking services are not part of this agreement.  However, If Licensee is interested in offering valet parking for its event, the Belcher Center management will coordinate that service with an outside provider, with the cost to be guaranteed by the Licensee.   For the purpose of budgeting, the number of valets hired is approximately one valet per every 200 tickets sold, or people (not vehicles) expected at the event.  The minimum cost is $250.  The request for this service must be made at least 30 days prior to the event.
 
Stage Labor and Equipment: Licensed User may contract with Belcher Center for full technical services.  Belcher Center technical director will coordinate third party stage labor and technical equipment operators or licensees who do not bring their own.  The Technical Director must approve any stage labor contracted by licensed user.
 
Front of House and Ushers (cost and schedule): The complete “front of house” service at the Belcher Center consists of employees of the Belcher Center.  Services of the Center’s “front of house” staff may be utilized at no cost to the user during normal business hours.  House Manager and Box Office Manager after-hours support will be provided at $15 per hour. Licensee has the option to provide its own usher services; however a training session must be held and the Belcher Center usher manual, covering seating plans and emergency procedures, must be reviewed.  If requested, a staff person from the Belcher Center may be scheduled during regular business hours for training with the licensed user’s ushers and front of house people.  There is no charge for this service during normal business hours; however, it is the licensed user’s responsibility to schedule training prior to its event.  Compliance with rules and regulations set out in the usher manual is strictly enforced. Usher services are not part of this agreement.  However, if Licensee does not have an adequate number of volunteers to usher, there are LeTourneau student groups who might be available and willing to usher as a fund-raiser for their group.  A $25 donation to the student group per usher provided would be required of Licensee.
 
Other Fees and Assessments:
It is the responsibility of each licensee to pay for any and all services or additional equipment required for their use of the Belcher Center.  In all circumstances, LeTourneau University will not be responsible to pay on behalf of the licensee for any services or equipment associated with a licensed use not detailed above.  Any and all state, county or city taxes or permits and fees are the sole responsibility of the licensee.
